How to make a PDF searchable
A PDF is searchable when it contains real text, not just pictures of text. To fix a scan, open it in PDF Unlimited and choose Tools > Make Searchable (OCR). The app reads each image-only page and adds an invisible text layer, so ⌘F, copy and Spotlight work. Preview offers Embed Text on export.
With PDF Unlimited (free)
Test the PDF
Open it in PDF Unlimited and press ⌘F. Search for a word you can see on the page. If nothing turns up, or you cannot select single words, the page is an image.
Make it searchable
Choose Tools > Make Searchable (OCR), or press ⌥⌘R. A progress bar counts through the pages, and you can cancel at any time.
Let it skip what is fine
Only pages without text are processed. If every page already has text, the app says so and leaves the file alone.
Save
Press ⌘S. The pages look exactly the same, but now there is selectable text underneath.
Search again
Press ⌘F, type your word, and use View > Search Results to see every match in a list in the sidebar.
With Preview, built into macOS
Open Export
Open the scanned PDF in Preview and choose File > Export.
Select Embed Text
Select Embed Text, then save. Apple notes this option only appears if no text was previously recognized in the document.
What a searchable PDF actually is
Some PDFs are made from text: exported from Word, Pages or a website. Every letter is stored as a letter, so you can search it, copy it and have it read aloud. Others are made from pictures: scanned on a copier, photographed with a phone, or "printed" as an image by some old software. Those look identical on screen, but to your Mac they are a photo of a page.
A searchable PDF keeps the original picture and adds an invisible layer of recognized text lined up underneath. You still see the scan; your Mac sees words. That process is called OCR, optical character recognition. For a deeper dive into OCR itself, see how to OCR a PDF on Mac.
Three quick ways to tell
You do not need special software to check:
- Press ⌘F and search for a word you can see. No result means no text.
- Try to drag across a single line. If a box covers the whole page instead, it is an image.
- Spotlight cannot find words inside it, even though the file is right there in Documents.
Why bother
Searchable files save real time. You can find the one clause in a 60-page scanned lease, copy an account number instead of retyping it, and let Spotlight find a receipt by the shop name. Screen readers can read searchable PDFs too, which matters for accessibility.
It also helps other jobs. Search makes it easy to find every mention of a name before you redact a PDF, and you can export the text once it exists.
Getting a clean result
Recognition happens on your Mac using Apple's built-in text recognition, so nothing is uploaded. It is good, but it can only read what is legible. Straighten sideways pages first with rotate, and rescan anything blurry or tiny. Printed text works far better than handwriting. Do OCR before you compress, so recognition sees the sharpest version of each page.
Questions
How do I make a PDF searchable for free?
Run OCR on it. In PDF Unlimited, choose Tools > Make Searchable (OCR) and save. In Preview, choose File > Export and select Embed Text if it appears.
Why can't I search my PDF?
It is probably a scan or photo, so there is no text to search, only pictures of letters. Making it searchable with OCR adds that text.
Does making a PDF searchable change how it looks?
No. The original page image stays as it was. The recognized text sits invisibly underneath it.
Why does Preview not show Embed Text?
Apple says it only appears when no text was previously recognized in the document. Your PDF may already be searchable.
Is a searchable PDF the same as an editable PDF?
No. Searchable means you can find and copy the words. Editing them in place is a different job. See how to edit a scanned PDF for what is possible.
Do I need an internet connection to make a PDF searchable?
Not with PDF Unlimited. Text recognition runs on your Mac, so it works offline and your document is never uploaded.
